Office Administrator
The office administrator is responsible for the smooth running of the day-to-day administrative duties and personnel support at the organisation.

Communicate effectively with internal and external stakeholders
Provide information and feedback as required

Create favourable relations with all stakeholders
Administrative duties timeous and accurately completed
Develop and implement appropriate administrative systems with the departments
Develop and implement appropriate capturing and reporting systems with the departments
Develop, maintain and distribute the calendar to all relevant stakeholders
Coordination of meetings, booking of boardrooms, minute-taking and distribution
Draft reports on a weekly and monthly basis and when required
Compilation, printing and distribution of communications, materials and tools
Liaise with ICT on the development and maintenance of intranet and internet content
Administrative support for management and other stakeholders
Coordinate event planning
Coordinate all travel and related reimbursements for the departments and stakeholders
Housekeeping related to function/meeting facilities
Manage the Petty Cash of the department
Manage all procurement and invoicing processes
Select suppliers based on cost effectiveness and quality
Work cooperatively with all team members to support the achievement of work plan activities
Implement self-development initiatives
Adhere to all departmental and company SOPs, guidelines and confidential agreements
Comply with all safety policies, practices and procedures according to prescribed legislation
Report all unsafe activities to Senior Management/Human Resources
Adhere to and maintain decision making authority as allocated to the position
Oversee that appointed sub-ordinates are trained on best administrative practices and the use of the intranet
Supervise sub-ordinates through performance management and staff development
Participate in proactive team efforts to achieve departmental and company goals
Requirements
Education
Grade 12 or Equivalent
Business Administration Certificate or similar
Experience
Two years’ experience in an administrative role
